Environmental Policy

Proximie Limited is a healthcare technology company whose platform connects the people, data and devices in the operating room to improve surgical throughput and quality. We operate globally, with employees in the United Kingdom, the United States and Lebanon. This Environmental Policy sets out Proximie’s commitment to managing the environmental impact of its activities and to operating an Environmental Management System (EMS) aligned with ISO 14001:2015.

Because efficiency and sustainability are inseparable in surgical care, the capabilities that help operating rooms run better, through fewer wasted slots, less unnecessary travel and smarter use of resources, also support lower-carbon surgical care. Our environmental commitment is therefore a direct extension of our mission, not separate from it.

This policy applies within the defined scope of our EMS, provides the framework within which we set and review our environmental objectives, and runs alongside and consistent with Proximie’s Carbon Reduction Plan. It is reviewed regularly to confirm it remains relevant, current and effective.

Environmental Policy

It is the policy of Proximie Limited to protect the environment and prevent pollution across its global operations, and to continually improve the effectiveness of its Environmental Management System and its environmental performance. This policy is appropriate to the purpose, context, nature and scale of Proximie’s activities, products and services and their environmental impacts.

To deliver this policy, Proximie is committed to:

  1. Protecting the environment, including the prevention of pollution, and reducing the environmental impacts of our activities, products and services.
  2. Achieving Net Zero greenhouse gas emissions by 2050, and reducing emissions from our most significant sources, principally business travel and cloud computing.
  3. Reducing the environmentalimpact of our most material aspects through cloud and compute efficiency,reduced business travel, improved waste segregation and recycling, andengagement with our suppliers on environmental standards.
  4. Meeting our compliance obligations, including applicable environmental legislation and the requirements of the GHG Protocol and PPN 006.
  5. Providing a framework for setting, monitoring and reviewing environmental objectives and targets.
  6. Embedding environmental criteria into procurement, supplier selection, IT asset disposal and cloud provider selection, applying a life-cycle perspective.
  7. Communicating this policy within the organisation and making it available to interested parties.
  8. Continually improving the Environmental Management System to enhance environmental performance.
  9. Formally pursuing ISO 14001:2015 certification through a UKAS-accredited certification body, and maintaining that certification once achieved.

This policy is established and maintained by top management, is available as documented information, is communicated within the organisation, and is available to interested parties.

Scope

The Environmental Management System applies to all of Proximie Limited’s activities, products and services in the design, development, delivery and support of its surgical telepresence and intelligence software platform and associated hardware.

The physical and organisational boundaries of the EMS comprise Proximie’s office in the United Kingdom and its office in Beirut, Lebanon, together with home and remote working locations across the United Kingdom, the United States and Lebanon. The scope reflects Proximie’s authority and ability to exercise control and influence over the life cycle of its activities: direct control over its offices, IT and cloud usage, business travel, waste and hardware logistics, and influence over externally provided services, principally its cloud infrastructure provider, suppliers and contractors.

Roles and Responsibilities

Senior management is accountable for the effectiveness of the Environmental Management System. The following responsibilities and authorities are assigned and communicated within the organisation.

Communication Plan

Proximie establishes and maintains processes for internal and external communication relevant to the EMS. Environmental information communicated is consistent with information generated within the EMS and is reliable. Proximie responds to relevant communications on its EMS and retains documented information as evidence of its communications.

Environmental Aspects, Risks and Opportunities

Proximie determines the environmental aspects of its activities, products and services that it can control or influence, and the associated environmental risks and opportunities, taking a life cycle perspective in line with Clause 6.1 of ISO 14001:2015.

Review Cycle

This policy is reviewed at least annually, and after any significant change, to confirm it remains appropriate and effective. It is reviewed alongside our Carbon Reduction Plan so that the two remain in step, and is approved by executive management.
